Who this is for: administrators and coaches who check athlete eligibility, and members who want to keep their USRowing status visible to their club. Permission required: Manage Documents and Waivers to link your club's USRowing account and to see the Compliance page in the menu. Adding your own USRowing number needs no permission.
USRowing-sanctioned regattas require athletes to hold a current USRowing membership and a signed USRowing liability waiver. Boathouse Connect can read this information from your club's USRowing roster, so coaches can see who is current without asking each athlete for a screenshot. The same data includes each athlete's SafeSport status.
The USRowing integration is part of the Professional plan ($20/mo). On Small Teams and Standard, the Waivers & Docs → USRowing and Waivers & Docs → My Waivers & Docs menu items are hidden. New organizations get a 30-day Professional trial with no card required. Compare plans on the pricing page.
Club documents and waivers that members sign inside Boathouse Connect are covered in Documents & waivers.
Add your USRowing number (members)
Boathouse Connect matches you to your club's USRowing roster by your USRowing membership number.
- Go to My Profile → My Profile.
- In Basic Personal Information, enter your USRowing Membership Number.
- Click Save Changes.
To check your status, go to Waivers & Docs → My Waivers & Docs. The USRowing Waiver card shows:
| Field | What it means |
|---|---|
| USRowing Membership Number | The number on your profile, or a Set USRowing Number button if you have not added one. |
| Signed Waiver | Whether USRowing has a signed waiver on file for you. |
| Waiver Expires on | The waiver expiry date, or Expired. |
| USRowing Membership | Your membership type, or Expired. |
| Membership Expires On | Shown while your membership is current. |
| SafeSport | Your SafeSport status as reported by USRowing. |
| Last Updated by Boathouse Connect | When your club's data was last imported. |
Unknown means Boathouse Connect has no USRowing record for you yet. Usually your number is missing, or you are not on your club's USRowing roster. Click Renew Membership / Waiver to go to USRowing and renew.
Note. Renewing on the USRowing site does not update Boathouse Connect instantly. Your status changes the next time your club's data is imported (see below).
Link your club's USRowing account
You need to be an administrator of your club's organization on USRowing, and have Manage Documents and Waivers in Boathouse Connect.
- Go to Waivers & Docs → USRowing and open the Import Waivers tab.
- Under Import waiver status from USRowing, click Replace Credentials.
- In Link USRowing Account, enter your USRowing Username and Password and click Check Credentials.
- Wait while Boathouse Connect checks the credentials and imports your roster. This can take up to 3 minutes.
Both current and archived members on your roster are imported. Once linked, Boathouse Connect refreshes the data automatically twice a week.
| Message | What to do |
|---|---|
| Bad Credentials | The USRowing username or password is wrong. Try again. |
| You do not have USRowing Administrator access to this organization. | Your USRowing login is not an administrator of the club's USRowing organization. Use a login that is, or contact support. |
Request an on-demand read
On the Import Waivers tab, On-demand Read of USRowing Data lets you refresh your club's data outside the regular schedule, once every 6 hours. Click Request On-demand Read. You will receive an email in 5 to 10 minutes when the update is finished.
Review and link members
The Waiver Status tab on Waivers & Docs → USRowing has three cards:
| Card | What it shows |
|---|---|
| My USRowing Waiver | Your own status, with Last updated waivers on for the club's last import. |
| User Accounts | Everyone in your organization with their USRowing ID, Waiver Expires, Membership Expires and Safesport. |
| USRowing Roster | Every athlete on your club's USRowing roster, including people who are not in Boathouse Connect yet. |
If a member has not added their number, link them from the roster:
- In USRowing Roster, find the athlete and click Link to User.
- Choose the person from Select User and click Link Account. The roster row then shows Already Linked.
You can also pre-approve roster athletes who are not linked yet. Click Pre-Authorize User, confirm the Email Address and click Add Pre-authorization. Anyone with that email address can then join your organization without requesting approval. See Join requests.
The Compliance page
Go to Waivers & Docs → Compliance to open Waivers, Documents, and SafeSport Compliance. Pick a tab, then a group, practice or regatta:
| Tab | Who is listed |
|---|---|
| Groups | Members of the group you choose in Select Group. |
| Practices | People marked as attending the practice you choose in Select Future Practice. |
| Regattas | Athletes attending the regatta you choose in Select Regatta. |
| All Accounts | Everyone in your organization. |
| Column | What it shows |
|---|---|
| USRowing Member Id | The person's USRowing number. |
| USRowing | Valid, or Waiver or Membership Expired if either has expired or no waiver is on file. |
| SafeSport | Active, Expired or Incomplete. |
| Outstanding Documents | Required club documents the person has not signed. Click one to open it on Manage Docs. |
| The person's email address, so you can follow up. |
Each regatta planner also has USRowing and Compliance tabs (Regattas → My Planners), and the planner checklist marks Check USRowing Waivers complete when every attending athlete has a current waiver and membership. See The regatta planner.
What blocks a join or a regatta entry
- Joining a group is blocked only by required club documents that are open for signing and not yet signed. USRowing and SafeSport status never block a join. See What blocks a group join.
- Regatta entries are not stopped by Boathouse Connect. Athletes with an expired or missing waiver, membership or SafeSport status are flagged on the Compliance page and in the regatta planner, and it is up to your coaches to resolve them before race day. The regatta itself may refuse entries from athletes who are not current with USRowing.
FAQ
My USRowing status shows Unknown even though I added my number. Your club may not have linked its USRowing account, the data may not have been refreshed since you were added to the roster, or you may not be on your club's USRowing roster. Ask a club administrator to check the USRowing Roster card.
I renewed my waiver but it still shows as expired. Data is refreshed twice a week. An administrator can click Request On-demand Read to refresh sooner.
Does Boathouse Connect store our USRowing password? Yes. The credentials are stored encrypted so the twice-weekly refresh can run. If the password changes on USRowing, enter the new one with Replace Credentials.
Where does SafeSport status come from? From USRowing, as part of the same import. Boathouse Connect does not track SafeSport training separately.
Can a member see other members' USRowing status? Members see their own status on My Waivers & Docs. The roster and user list on Waivers & Docs → USRowing require Manage Documents and Waivers, and the Compliance menu item is only shown to people with that permission.
