Email analytics

See how many emails and texts your organization sent, who opened and clicked each email, and how a member's tracking preference affects the numbers.

Who this is for: administrators and communications officers. Permission required: Manage Communications or Approve Communications.

Email analytics shows what happened to the messages your organization sent: how many went out, who opened them, and who clicked a link. Clubs use it to check that an important notice reached the people it was meant for, and to see which members never open club email.

Analytics covers emails and texts written on Communications → Send Message. Automated system emails, such as payment receipts or attendance reminders, are not in the message list; you can see them per person in the By User view.

Note: Because of our email vendor's data retention policy, analytics may not show data from before October 5, 2023.

The overview

Go to Communications → Analytics. The top of the page shows three totals:

Total What it counts
Total emails sent Emails sent to recipients.
Email Open Rate The share of sent emails that were opened.
Total texts sent Text messages sent to recipients.

Below the totals, switch between the By Message and By User views.

Results for one message

  1. On By Message, the Sent Messages table lists each message with its Date Sent, Type, Sender, Subject and Recipients.
  2. Click the number under Recipients to open Recipient Information. For an email it shows each recipient's address and their last open and last click; for a text it shows each recipient's phone number.
  3. Click View to open the message's details, which have three tabs:
Tab Shows
Stats Who sent it, unique opens out of the number of recipients, and unique clicks.
Activity Stream One row per event, with the time, the recipient's name and the activity, such as Open or Click.
View Message The message as it was sent.

"Unique" means each person counts once, however many times they opened the email or clicked a link.

Results for one person

  1. Switch to By User. The table lists each person with Emails Received, Emails Opened and Emails Clicked.
  2. Click View Details to open Emails Received, every email the person received after October 5, 2023, including automated system emails.
  3. Each row shows the Send Date, Subject Line, To Email, From Email, Opens and Clicks. Click View Email to read the message.

Warning: Do not click links inside an email you open from analytics. Some links are personal to the recipient, and your click may be recorded as theirs.

When a member turns tracking off

Any member can stop Boathouse Connect from tracking whether they open or click emails. On My Profile, they set Track email opens/clicks to No (see My Profile, Preferences & Notifications).

After that:

  • They still receive every email.
  • Their opens and clicks are not recorded, so analytics shows them as "unread" for all future emails.
  • Your organization's Email Open Rate counts them as not having opened.

A member who never seems to open anything may simply have tracking turned off. Ask them before you assume they are missing messages.

FAQ

A member says they never got an email. How do I check? Open By User, find the member and click View Details. If the email is listed with a To Email, it was sent to that address. If the address is wrong, they can fix it on their profile. Point them to Not receiving emails or texts?.

Why does someone show zero opens when they say they read the email? They may have tracking turned off, or their email app may block the tracking image. Analytics is a strong signal, not proof.

Why don't I see payment receipts or reminders in the message list? The message list only includes emails written by people. Automated emails appear in each person's By User history.

Can I see texts being opened? No. Analytics records opens and clicks for email only.

Who can see analytics? Anyone with Manage Communications or Approve Communications. Give these through group permissions; see Roles & permissions.
