Attendance

How members declare attendance plans, how coaches see and adjust who is coming, and how to set up weather alerts.

Who this is for: members who attend practices, and the coaches who plan around them. Permission required: none to declare your own attendance or set weather alerts; Create Practices or Set Practice Lineups to view and change other members' attendance.

Attendance plans tell your coaches whether you are coming to each practice. Coaches only build lineups from the athletes marked attending, so keeping your plans up to date is the single most useful thing you can do before practice.

You can only declare attendance for practices that one of your groups is allowed to attend, and only while that practice's attendance window is open.

Declare your attendance plans

  1. Go to Practices → My Attendance. The page is titled My Attendance Plans.
  2. On the My Attendance tab, find the practice.
  3. Choose Attending, Not Attending or Unknown. The change saves straight away.

Use the location and view buttons on each row to see where the practice is and its details, including the practice plan and weather.

Tip: Attendance can also be set from the mobile app.

When you can't change your plan

Situation What happens
The window has not opened yet The row shows when you will be able to set attendance.
The window has closed Your plan is locked. Use Request Attendance Change instead.
The practice is full You cannot mark yourself attending. If you are already attending you can still switch to Not Attending. Contact a coach to be added.

Request an attendance change

  1. On the locked practice, select Request Attendance Change.
  2. Enter the reason for the change and send the request.
  3. A coach is notified and accepts or declines it. The request status appears on the practice.

The coach's view of attendance

Coaches see attendance in two places.

On the practice

  1. Go to Practices → Manage and select View Practice.
  2. Open the Attendance tab to see who is attending, not attending and unknown.

In the lineup builder

  1. Go to Practices → Lineups and open the practice's lineups.
  2. Open the Attendees tab.

From the Attendees tab you can:

  • Add an athlete to the practice, even when it is full or outside the attendance window.
  • Take an athlete off the practice with Remove.
  • Approve or Decline pending attendance change requests.
  • See each athlete's current boat assignment.

Tick Hide Not Attending on the lineups tab to keep the athlete list short. See The lineup builder.

Note: Members of several allowed groups get the widest attendance window of their groups. How windows are set is covered in Creating & managing practices.

Weather alerts

Weather alerts send you a text message 55 to 60 minutes before a practice if the forecast crosses a limit you set. They only apply to practices you are attending or where you are assigned as a coach to a boat.

  1. Go to Practices → Weather Alerts.
  2. Add an alert, choose the alert type and enter the trigger value.
  3. Save the alert. Repeat for each condition you care about.
Alert Triggers when the forecast is
High Temperature Above your value.
Low Temperature Below your value.
High Wind Speed Above your value.
High Wind Gusts Above your value.
High UV Index Above your value.

Alerts are personal: each member sets their own. Coaches can also see the forecast on the Weather tab of a practice and of the lineup builder.

Tip: Alerts are sent by text message, so add a mobile number and check your notification settings in My Profile, Preferences & Notifications.

FAQ

I don't see a practice on My Attendance. Why? You are not in any of the groups allowed for it. Check All Upcoming Practices, then ask a coach to add your group or to add you directly.

The practice says it is locked. Can I still go? Use Request Attendance Change. A coach decides whether to accept it.

Does Unknown count as attending? No. Coaches build lineups from athletes marked Attending.

I set a weather alert but never got a text. Alerts only go out for practices you are attending or coaching a boat at, and only when the forecast crosses your value. See Not receiving emails or texts?.
