Who this is for: administrators who set up how new members join, and anyone tracking member tasks. Permission required: Manage Organization Settings for Org Settings → Onboarding and Org Settings → User Profiles. None to create a user checklist on Tasks → User Checklists.
When someone joins Boathouse Connect they go through a short series of setup screens. A custom onboarding workflow lets you choose those screens for your club and gives you a registration link to share. People who sign up through the link are added to your organization and to the groups you pick, so a new novice class can be onboarded with one link.
Custom profile questions collect extra information you need from every member, and user checklists track things members do outside Boathouse Connect, such as handing in a swim test or returning a uniform.
Create an onboarding workflow
- Go to Org Settings → Onboarding.
- Under Custom Onboarding Workflows, click New Registration Link.
- Enter a Workflow Name, for example "Fall Novice 2026".
- Click Create Registration Link.
The workflow appears in the table with its URL. Open it to configure it.
Configure the workflow

If a group assigned to the link has a join fee, include the Payment Method screen so new members can add a way to pay. See Fees, payment plans & discount codes.
Share the URL in your welcome email, website or flyer. Each person still creates their own account through it.
Custom profile questions
Use these for information Boathouse Connect does not collect by default, such as school, graduation year or a jersey number.
- Go to Org Settings → User Profiles.
- Under Custom User Profile Questions, click New Field.
- Enter the Question Label.
- Choose a Question Type: Text Box for free text or Dropdown for a fixed list of answers.
- Click Create Profile Question.
Modify a question to change its Question Label or, for dropdowns, its Dropdown Items. Use View Responses to see everyone's answers.
Members answer on My Profile → My Profile under Custom Profile Questions. See My Profile, Preferences & Notifications.
Deleting a custom profile question also deletes every member's answer to it. This cannot be undone, so the confirmation asks you to choose Yes, Delete this question or No, Keep the question.
User checklists
A user checklist is a list of members with one response per person: a checkbox ("Swim test submitted") or a short text answer ("Locker number").
Create a checklist
- Go to Tasks → User Checklists.
- Click New Checklist.
- Enter a Checklist Name and Description.
- Choose a Response Type: Checkbox or Text Input.
- Click Create Checklist.
You become an editor of the checklist. Checklists are private: the User Checklists page only shows checklists you have been given access to.
Share a checklist
Open the checklist and use Checklist Permissions to add people. Each person is either a viewer (can see the checklist) or an editor (can record responses and manage access). Editors can remove someone's access with X.
Record and review progress
The checklist lists each member with Name, Last Updated and Status. Editors tick the checkbox or type the text answer for each person, and each change saves on the spot. Viewers see the same list without editing. Use Last Updated to see what changed recently.
FAQ
Can a member fill in a checklist themselves? Only if you give them editor access, which lets them edit every row. For information members should enter about themselves, use a custom profile question instead.
Can I use more than one registration link? Yes. Create a workflow for each program or season, each with its own groups and screens.
Does a registration link skip join approval? Yes. People who register through the link are added to the organization and to the link's groups as part of signing up, so only share it with people you expect.
