Who this is for: equipment managers, treasurers and board members making insurance, purchase and sale decisions. Permission required: Manage Equipment (these pages appear under Equipment only for members with it).
Equipment is usually a club's largest asset, and the decisions about it — how much to insure, what to sell, what to buy next — are often made from memory. These three reports turn the details in Your inventory into numbers you can bring to a board meeting:
- Insurance lists every insured asset and its value, ready to send to your insurer.
- Valuations estimates what each boat would sell for today.
- Analytics shows how often each boat is used, by whom, and what each hour of use costs.
All three are only as good as the inventory behind them, so keep purchase prices, insured values and statuses current.
Insurance summary
Go to Equipment → Insurance. The Insurance Summary page has three tables:
| Table | What it includes | Columns |
|---|---|---|
| Boats | Boats marked Insured. | Boat Id, Name, Boat Type, Coxed, Manufacturer, Model, Serial Number, Color, Year Built, Year Purchased, Purchase Price, Insured Value |
| Ergs | Ergs marked insured. | Identifier, make and model, year purchased, location and insured value |
| Oars | Every oar set. | Set name, type, description, manufacturer, model and number of oars |
The total value at the top adds up the insured value of the insured boats and ergs. Oars do not have an insured value, so they are not included in the total.
Each table has Excel and CSV buttons. Use them when you renew your policy, and check the list against your insurer's schedule: a boat missing here is marked not insured in the inventory, and a wrong value is fixed on the boat's General tab.
Tip: Serial numbers are the easiest way for an insurer to identify a hull. If any are blank, the Serial Number Decoder can also tell you the build year to record.
Valuations
Go to Equipment → Valuations.
- Estimated Fleet Value is the sum of the latest estimated values of all valued boats.
- Boat Valuations lists each boat with its Type, Manufacturer, Model, Year Built, Purchase Price, Insured Value, Estimated Value, Price Range and Comparables (how many listings the estimate drew on).
Valuations are refreshed monthly. Each boat's estimate is based on comparable boats-for-sale listings on Row2k from the previous three months — same number of rowers, and the same manufacturer when there are enough of them — with the boat's age, builder and hull type taken into account. Archived boats are not valued.
Click View Details on a boat to see a short explanation of how its estimate was reached and a chart of its estimated value and price range month by month. New boats show Not yet valued until the next monthly run.
These are estimates, not appraisals. Treat them as a guide when setting insured values or asking prices, and get a professional appraisal when one is required.
Usage analytics
Fleet summary
Go to Equipment → Analytics. Equipment Use Analytics lists every boat for the date range you set with Start Date and End Date (the start of the current year to today, by default):
| Column | Meaning |
|---|---|
| Total Uses | Practices plus private reservations that used the boat. |
| Total Hours Used | Hours of practice and private-reservation use. |
| Purchase Price | From the inventory. |
| Cost / Athlete-Hour | Purchase price divided by hours used multiplied by the number of seats. |
The table can be exported to Excel or CSV. Click View Details for a single boat.
Boat detail
The detail page has its own Start Date and End Date and shows:
- Practice Row Summary Stats — Number of Practices, Unique Athletes and Hours of Use.
- Meta Data — the boat's inventory details.
- Private Reservations — Number of Reservations and Total Hours of Use.
- Financial Summary — Insured Value, Purchase Price, Cost / Hour of use and Cost / Athlete-Hour of use.
- Athlete use by age group — how often athletes in each USRowing age category (AAA (< 21) through J (80+), age as of December 31) rowed in the boat.
- Male / Female Usage.
- Athlete Weight by Row and Weight Class — the recorded weight of each athlete at the start of each practice, and how it compares with Vespoli hull weight classes. Use these to decide what weight class to buy when the boat is replaced.
- Athlete Uses — who rowed it most, on Practices and Private Reservations tabs.
The age, gender and weight charts are based only on practice lineups, not on regattas or private reservations. Athlete weights come from member profiles, so they are only as accurate as your members keep them. For practice-level reports see Practice analytics & erg scores.
FAQ
A boat is missing from the insurance summary. Only boats marked as insured are listed. Open the boat in Equipment → All Equipment → Boats and set Insured to Yes and enter the Insured Value on the General tab.
Why does a boat say "Not yet valued"? Valuations run once a month. A boat added since the last run is valued in the next one.
Why is Cost / Athlete-Hour blank? The boat has no recorded uses in the date range. Widen the dates, or check that the boat is being placed in practice lineups.
Do regattas count toward usage? Not in the age, gender and weight charts, which only use practice lineups.
