Stakeholders (parents & guardians)

Add parents, guardians and other people without accounts to a group's stakeholder list so they receive the club's emails to that group.

Who this is for: administrators and coaches who keep parents, guardians, sponsors or other supporters informed. Permission required: Manage Groups to add or delete stakeholders. Manage Communications Stakeholders also shows the Stakeholders page. Sending to stakeholders uses the normal messaging permissions.

A stakeholder is someone who should hear from your club but does not have a Boathouse Connect account: a junior rower's parents, a guardian, a booster, a sponsor. Each stakeholder is just a name and an email address attached to one of your groups. When you email that group, you can choose to copy its stakeholders.

Stakeholders never sign in and cannot see anything inside Boathouse Connect. They only receive the emails you choose to send them, and they can unsubscribe at any time.

Stakeholders or additional contacts?

There are two ways to keep a parent informed. Pick the one that fits:

Use additional contacts when a parent should get everything their athlete gets. Use stakeholders when you want a separate parents' list for a group that you copy on selected messages. See My Profile, Preferences & Notifications.

Add a stakeholder

  1. Go to Groups → Stakeholders.
  2. Select the group the stakeholder belongs to.
  3. Click Add Stakeholder.
  4. In Add New Stakeholder, enter the Stakeholder Name and Stakeholder Email.
  5. Click Add Stakeholder.

Repeat for each person. The same email address can be added to several groups.

Name stakeholders so you can tell them apart later, for example "Jane Smith (parent of Alex Smith)".

Remove a stakeholder

  1. Go to Groups → Stakeholders and select the group.
  2. Click Delete next to the stakeholder.

This only removes them from that group's list.

Email stakeholders

  1. Write a message as usual. See Sending email & text.
  2. Choose the groups the message is for.
  3. Under Which group stakeholders should also receive this message? (Email only), pick the groups whose stakeholders should get a copy.
  4. Send the message (or submit it for review if your club uses message review).

Stakeholders only receive email. Text messages, push notifications and in-app notifications go to members only.

Unsubscribing

Every email a stakeholder receives includes an unsubscribe link. Clicking it unsubscribes that email address from all of your organization's stakeholder lists, in every group, not just the one the email came from. The stakeholder sees a confirmation page saying so.

If they want to hear from you again, add them back to each group.

FAQ

Can a stakeholder see the roster, schedule or lineups? No. Stakeholders have no account and see only the emails sent to them.

A parent wants to log in and see their child's schedule. They need their own Boathouse Connect account and must join your organization. Accounts always belong to one person; parents should not share their child's login.

Why didn't a stakeholder get my text message? Stakeholders are email only. Use an additional contact on the athlete's profile if the parent needs texts.

We don't see the Stakeholders page. You need Manage Groups or Manage Communications Stakeholders. Check your organization's plan as well.
