External systems

What Boathouse Connect exchanges with USRowing, RegattaCentral, Zapier and Mailchimp, and how External IDs link members to other systems.

Who this is for: administrators who connect Boathouse Connect to other systems, and members asked to fill in an External ID. Permission required: none for your own External IDs; Manage Organization Settings to name and edit External IDs for everyone; Manage Documents and Waivers to link your organization's USRowing account.

Boathouse Connect connects to a small number of outside systems. Some are built in (USRowing, RegattaCentral); others go through Zapier. This page explains what moves in which direction so you know where to make a change.

Nothing in Boathouse Connect is written back to USRowing or RegattaCentral.

External IDs

External IDs let you store up to four identifiers from other systems — Id A, Id B, Id C and Id D — against each member, for example a school student number or a membership number in another database. Integrations such as Zapier can then match people across systems. External IDs belong to the organization: if you are in two clubs, each club has its own four IDs for you.

Name the IDs (administrators)

  1. Go to Org Settings → External Ids.
  2. Under External Ids Names, type a name for each ID you use, such as Student number next to Id A. Each name saves as soon as you leave the field.

Members see these names on their own External Ids page, so make them self-explanatory.

Fill them in for members (administrators)

The Users table on Org Settings → External Ids lists everyone in the organization with a column for each ID. Type a value into a member's cell; it saves when you leave the field.

Fill in your own (members)

  1. Go to My Profile → External Ids.
  2. Enter the value for each ID your organization has named. Each field saves when you leave it.

If you are not sure what to put in an External ID, ask your organization before changing anything. A wrong value can break an integration your club relies on.

USRowing

If your organization links its USRowing account, Boathouse Connect imports your roster's membership and waiver status so you do not have to check each person on the USRowing site. The full workflow is in USRowing & SafeSport compliance; the short version:

  1. Go to Waivers & Docs → USRowing and open the Import Waivers tab.
  2. Click Replace Credentials, enter your organization's USRowing Username and Password, and click Check Credentials. The first import can take up to three minutes.
  3. In the USRowing Roster table, use Link to User to match each USRowing athlete to a Boathouse Connect member, or Pre-Authorize User to let them join with their email address.

After that, Boathouse Connect refreshes the data automatically twice a week. To refresh sooner, click Request On-demand Read; this is available once every six hours.

The Waiver Status tab of the same page shows My USRowing Waiver: your own USRowing membership number, waiver, membership and SafeSport status. If their USRowing membership number is missing, Set USRowing Number takes them to My Profile to add it.

RegattaCentral

Regattas you find under Regattas → Search come from RegattaCentral. When you open a regatta whose details are more than two days old, Boathouse Connect fetches a fresh copy. Each regatta page has a View on RegattaCentral link, and regatta planners linked to a RegattaCentral regatta show a RegattaCentral link too. See Finding and attending regattas.

When someone registers a new organization, the Select your organization list is drawn from RegattaCentral's organization list. If your club is not there, it may already have been claimed on Boathouse Connect, or it may not be listed with RegattaCentral — contact [email protected].

Mailchimp

There is no built-in Mailchimp connection. Use Zapier — for example, a Zap on New Organization User or New Group Member that adds or updates the person in a Mailchimp audience.

Calendars

Org Settings → Calendar holds your organization's custom events (see Calendar). There is no calendar feed to subscribe to from Google Calendar, Outlook or Apple Calendar.

FAQ

Can members see each other's External IDs? Members only see their own on My Profile → External Ids. The table of everyone's IDs is on Org Settings → External Ids, which needs Manage Organization Settings.

A member's USRowing status looks out of date. Check Last updated waivers on on the Import Waivers tab. If the last refresh was a while ago, click Request On-demand Read. Also make sure the member is linked — unlinked athletes only appear in the USRowing Roster table.

Does Boathouse Connect enter crews into regattas on RegattaCentral? No. RegattaCentral data is read into Boathouse Connect for planning; nothing is sent back to RegattaCentral.

Our USRowing password changed. What do we do? Click Replace Credentials on the Import Waivers tab and enter the new username and password.
