Who this is for: treasurers, board members and administrators preparing year-end reports. Permission required: Manage Finances or Assess Fees.
Two pages under Finances help with year-end work. Tax Records brings together your organization's federal tax filings so you can look back over past years. Analytics breaks down the money your club received through Boathouse Connect in a given year, with tables you can export for your accountant or board.
Neither page files anything for you, and analytics reports are not tax documents. Use them as working records alongside your own books.
Tax Records
Go to Finances → Tax Records.
Filed PDF's
This table lists each federal filing found for your organization, by EIN, Org Name and Tax Year. Click View Filing to open the filed return.
Federal Tax Filing Data
Below the filings, choose an item from Select financial element to view historical data for, such as total revenue. The chart shows how that figure has changed across the years your organization filed, and the page tells you where the item appears on the form.
Not seeing any data? Boathouse Connect may not have been able to collect the IRS data for your organization yet. Contact [email protected] to ask about it.
Analytics
Go to Finances → Analytics and choose a year from the year selector. Only years with data are listed.
At the top, Yearly Revenue shows the total for that year, calculated by the total amount paid less any interchange fees. The page then has four tabs.
By Athlete
The Athlete Summary lists every member with their User Id, Name, Account Created On, revenue in the selected year and Lifetime Revenue.
By Group
The Groups table shows, for each group and its Status (Active or Archived):
| Column | Meaning |
|---|---|
| Join Fees (All Years) | Join fees posted to members who joined the group. |
| Recurring Fees (All Years) | Scheduled group fees posted to members. |
| Total Fees | Join fees plus recurring fees. |
| Future Fees | Scheduled fees that have not come due yet. |
These figures are charges posted to members' accounts, not money received. Actual payments may differ because of account credits, refunds and delinquent accounts.
Donations
Donations Payments Received lists each donation in the year with its Donor, Donation Date and Amount.
All Payments
All Payments settled in the selected year shows every payment with its Name, Payment Type, Payment Date, Settle Date, Amount Paid, Interchange Fee, Amount Refunded and Settled Amount.
Export for year-end
Each analytics table has buttons to export it to Excel or CSV. The overdue and all-accounts tables on Finances → All Accounts can be exported the same way. A typical year-end pack:
- Finances → Analytics → All Payments for the year, to reconcile against your bank deposits and Payout History on Finances → Settings.
- Finances → Analytics → Donations, for donor acknowledgment and your filing.
- Finances → Analytics → By Group, to compare fees charged by program.
- Finances → All Accounts, to see outstanding balances at year end.
For other organization data, see Data export.
FAQ
Why doesn't Yearly Revenue match the amount withdrawn to our bank? Yearly Revenue is calculated by payments less interchange fees. Withdrawals depend on when you trigger payouts and may include refunds and other fees. Use All Payments and Payout History together to reconcile.
Do cash and check donations show here? Analytics shows payments processed through Boathouse Connect. Check the Donations tab to confirm whether a recorded cash or check donation is included before relying on it.
Our filings don't show up. Why? The data may not have been collected for your organization yet. Contact support.
Who can see these pages? Anyone with Manage Finances or Assess Fees. See Roles & permissions.
