Rosters & contact visibility

Browse and export your organization's member list, and control who can see members' phone numbers and email addresses.

Who this is for: members looking up teammates, and administrators deciding how much contact information members can see. Permission required: none to view Groups → Rosters. Manage Organization Settings to change who sees contact information. Remove User from Organization to remove someone from the organization.

The Rosters page is the organization's member directory. Everyone in the organization can open it, but what each person sees depends on their permissions and on two organization settings: whether members may see who is in each group, and whether members may see each other's contact details.

Every row on a roster is a person with their own Boathouse Connect account. Being on the roster means that person belongs to your organization; it does not give anyone access to their account.

View a roster

  1. Go to Groups → Rosters.
  2. Use the dropdown at the top to choose All Members or a single group. The dropdown only appears if your organization lets members see group membership (see Who can see group members below).
  3. Search or sort the table, or use the export buttons above it to download the roster as a spreadsheet.

The columns depend on who you are:

The Profile view shows details such as emergency contacts. That is one more reason to keep Manage Groups on a small group of trusted people.

Contact information setting

By default, only members with Manage Groups can see phone numbers and email addresses on rosters. To change it:

  1. Go to Org Settings → General.
  2. Find Permissions to See Members' Contact Information.
  3. Choose one of the options below. The change saves immediately.
Option Effect
Only members with Manage Groups permission can see members' contact info in rosters Default. Everyone else sees names, IDs and join dates only.
All members can see members' contact info in rosters Every member of the organization sees phone and email columns on Rosters.

Many youth clubs keep the default so athletes' contact details are only visible to coaches and staff. Adult and masters clubs often allow everyone to see them so members can arrange carpools and substitutes.

Who can see group members

On Groups → Manage Groups, the Allow other users to see the members of each group option (Yes / No) controls whether ordinary members can see who is in each group. When it is No, the group dropdown on Rosters is hidden and members only see the All Members list. Members with Manage Groups can always see group membership on the Manage Groups page. See Groups.

Remove someone from the organization

  1. Go to Groups → Rosters with All Members selected.
  2. Click Remove From Org on the person's row.
  3. Check the name and phone in Remove User From Organization and click Permanently Remove User.

The person keeps their Boathouse Connect account; they just stop belonging to your organization.

Your own privacy settings

Each member controls a few things about their own information from My Profile → My Profile:

  • Contact Info tab: your phone number, whether I want to receive text messages from my rowing club, your login email and any additional contacts.
  • Privacy tab: Track email opens/clicks. When it is No, the club cannot see whether you opened or clicked its emails, and you appear as not having read future emails.

There is no per-member option to hide your phone or email from a roster. That is decided by the organization setting above. See My Profile, Preferences & Notifications for all profile settings.

FAQ

Why can't I see anyone's phone number? Your organization only shows contact information to members with Manage Groups. Ask a coach or administrator, or ask them to review the setting under Org Settings → General.

Why is there no group dropdown on Rosters? The organization has set Allow other users to see the members of each group to No.

Someone is missing from the roster. They may not have finished joining. Check the Pending Join Requests card on the Dashboard. See Importing members for adding people in bulk.

Can members without Manage Groups export contact details? No. Contact columns only appear for people allowed to see them, so they cannot be exported by anyone else.

Can I see a roster for the whole club and a group at the same time? No. Pick All Members or one group from the dropdown.
