Not receiving emails or texts?

Check your contact details, text message setting, email preferences and system notification opt-outs when club messages are not reaching you.

Who this is for: members who are missing club emails or texts, and administrators helping them. Permission required: none for your own settings. Turning automated club emails on or off needs Manage Communications or Manage Organization Settings.

Boathouse Connect reaches you in three ways: emails (messages from your club and automated emails such as lineups and reminders), text messages, and in-app notifications (the notifications icon and My Profile → Notifications). Most delivery problems come from an out-of-date email or phone number, a preference you switched off, or not being in the group a message was sent to. Work through the checks below in order.

1. Check your contact details

  1. Go to My Profile → My Profile and open the Contact Info tab.
  2. Confirm Email (used for login) is an address you check. All Boathouse Connect email goes here.
  3. Confirm Phone Number is a mobile number that can receive texts.
  4. Set I want to receive text messages from my rowing club to Yes. If it is No, you receive no club texts.

If your number cannot receive text messages, Boathouse Connect may email you a notice showing the Phone Number Attempted and a Change Contact Settings button so you can fix it.

Additional contacts

Under Additional Contacts on the same tab, click Add Additional Contact to add another email address or phone number. Every email and text sent to you through Boathouse Connect is also sent to these contacts. Student athletes often add a parent or guardian here.

2. Check your email preferences

Automated emails can be switched off one type at a time.

  1. Go to My Profile → Preferences and open Contact Preferences.
  2. Under Communication Preferences, set each type to I want to receive these emails or Opted-out. Changes save immediately.

Unread notifications email Emails you in-app notifications you have not read yet.

Post-practice survey email The survey sent after a practice.

Upcoming charges notification Charges coming up on your member account.
Practice attendance change request notification Requests to change practice attendance.
New survey notification A new survey was sent to you.
Unknown practice attendance notification Reminders to mark whether you are attending.

These preferences cover automated emails. Messages a coach or administrator writes and sends to your group through Communications → Send Message are not controlled by them.

3. Check system notification opt-outs

System notifications are the in-app alerts for events such as being added to a group or a new equipment issue.

  1. Go to My Profile → Preferences and open System Notifications.
  2. Opted-out System Notifications lists every alert you will not receive. Click X next to one to receive it again.
  3. To stop an alert, pick it from Select Alert to opt-out of.

Unread system notifications are also emailed to you (checked about every two hours, and each notification is emailed only once) unless you opted out of the Unread notifications email.

4. Check you were meant to get it

  • Groups. Club messages go to groups. The recipient list is built when the message sends, so if you were not in a selected group at that moment, you did not get it. Check Groups → My Groups.
  • Organization. If you belong to several clubs, make sure you are looking at the right one in the organization switcher.
  • Pending review. A message written by someone without permission to send waits in Communications → Pending Review until it is approved. See Message review.
  • Stakeholders. Parents and other stakeholders on a group receive emails only, never texts. A stakeholder who clicks the unsubscribe link in a club email is removed from all of that organization's stakeholder lists. Ask an administrator to add you back. See Stakeholders.

5. Look in the right place

  • Club messages are sent from [email protected], or from your club's own verified address if it has one. Replies go to the person who sent the message. Some automated emails come from [email protected].
  • Check spam, junk and promotions folders, and add these addresses to your contacts.
  • Text messages start with BC Alert -. Texts are limited to 140 characters.

For administrators

Symptom Where to look
Nobody receives a particular automated email Communications → Settings (also Org Settings → Communication). Each email type has Allow Sending / Disable Sending. A disabled type is not sent to anyone.
One member never receives anything Check their groups, and ask them to run checks 1 to 3 above.
You want to know who opened a message Email analytics. Members who set Track email opens/clicks to No always show as unread.
Messages come from a generic address Set up your own sending address. See Sender signatures & custom domains.

FAQ

I turned off email tracking. Will I stop getting emails? No. My Profile → Privacy → Track email opens/clicks only controls whether opens and clicks are recorded. You still receive every email, but you will show as "unread".

Can I unsubscribe from my club's emails? Members cannot opt out of messages a club sends to their groups, only the automated types in Contact Preferences. Ask your club to move you out of a group if you should not receive its messages.

I get texts at an old number. Update Phone Number on Contact Info, and remove any old numbers from Additional Contacts.

My password reset email never arrives. Check spam and junk folders, and confirm you entered the address you sign in with. See Signing in.
