Reported issues & maintenance

Report damage to a boat, oar set or erg, triage what comes in, and mark issues resolved once repairs are done.

Who this is for: every member (anyone can report a problem), and the coaches and equipment managers who fix it. Permission required: none to report or view issues. Manage Equipment to mark an issue resolved or reopen it.

Equipment breaks, and the person who notices is rarely the person who fixes it. Reported Issues gives the club one list of every known problem with its boats, oar sets and ergs. Members report damage as soon as they find it, the right people are notified straight away, and each issue stays open until someone confirms the repair. The list doubles as a maintenance history for each piece of equipment.

Report an issue

  1. Go to Equipment → Reported Issues and click Report Equipment Issue.
  2. Choose the Equipment Type: Boat, Oar Set or Erg.
  3. Pick the boat, oar set or erg from the list. Boats are grouped by hull type.
  4. Under Describe the issue, say what is wrong and where — for example "Bow seat wheel cracked" or "Port rigger in seat 3 loose".
  5. Click Add Issue.

A notification is sent to everyone in the organization who has Set Practice Lineups, Manage Equipment, Add Equipment to Inventory or Equipment Usage Hours & Group Permissions. The notification names the equipment and includes your description.

Be specific. Include the seat, rigger or part. "Seat 5 footstretcher won't tighten" can be fixed before the next practice; "boat is broken" needs a phone call first.

From the post-practice survey

If your club uses post-practice surveys, equipment feedback a rower enters there is also logged as an issue against the boat they were in that practice. Review open issues

Equipment → Reported Issues has a tab each for Boats, Oars and Ergs. Each table shows:

Column Contents
Date Reported When the issue was logged.
Reporter The member who reported it.
Boat / Oar Set / Erg The equipment affected.
Issue The description.
(last column) Mark as Resolved, or Resolved on the date and by whom, with a Reopen button.

Use Hide Resolved Issues to see only what still needs attention. On the Boats tab you can also pick a single boat from the Show All Boats list to see only its history. Each table can be exported to Excel or CSV, which is handy for a work list or to send to a boat repairer.

A boat's issues also appear on the Reported Issues tab of its details in Your inventory, showing Pending until they are resolved.

Triage

Reported issues do not change a boat's status by themselves. If a problem makes equipment unsafe or unusable:

  1. Open the equipment in Equipment → All Equipment.
  2. Set its Status to Out Of Service. Out-of-service boats are no longer offered for private reservations, and their tiles turn red on the Boats page.
  3. Tell your coaches, so they can check lineups for upcoming practices that already include it.

When the repair is done, set the status back to Available.

Resolve an issue

  1. On Equipment → Reported Issues, find the issue.
  2. Click Mark as Resolved. The row changes to Marked Resolved!, and the next time the page loads it shows the resolution date and your name.
  3. If the problem comes back, or was marked by mistake, click Reopen.

Resolving an issue only records that it is fixed; remember to set the equipment's status back to Available if you took it out of service.

FAQ

I clicked Mark as Resolved but nothing was saved. Resolving and reopening issues requires Manage Equipment. Anyone can see the button, but the change is only saved for people with that permission.

Who gets told when I report something? Members with Set Practice Lineups, Manage Equipment, Add Equipment to Inventory or Equipment Usage Hours & Group Permissions. They receive a Boathouse Connect notification — see My Profile, Preferences & Notifications for how notifications are delivered.

Can I edit or delete an issue after reporting it? No. If you made a mistake, report a new issue with the correction and ask an equipment manager to resolve the wrong one.

Can I report a problem with a launch, trailer or other gear? Only boats, oar sets and ergs can be selected. Report anything else directly to your equipment manager.

Can I clear the repair log and start fresh? No. Issues cannot be deleted, so the repair history is kept. Mark old issues resolved with Mark as Resolved, then use Hide Resolved Issues to see only what still needs attention.
